Group Sales Events Coordinator Position

The role of the Coordinator is to assist and support the Sales Team as contracted group details are assigned. The position will be responsible for various daily, weekly, and monthly tasks while assisting the team with various events, projects, etc.

  • Phones – Second to the Administrator, to answer incoming calls. Process reservations, cancellations, document Group Inquiry information on the application form, etc.
  • Voicemails – Second to Administrator in logging, responding to, and dispersing voicemail messages.
  • In Box Contract Processing:
  • Change Rates in RMS or Clock Waive Resort Fees (if applicable)
  • Process notes in RMS or Clock according to agreement
  • Document Group number on the agreement (if applicable)
  • File agreement in Contract Binder – prompting Manager to change status in HSP
  • Monthly Traces – The coordinator is responsible for assisting with and completing the following traces for their assigned market segments:
  • Deposit Processing (Rooming List Agreements Venue Spaces)
  • Cut-Off Dates Site Lists, sending reminder emails to Group Leaders
  • Rooming Lists
  • Creating Invoices Final Statements
  • Follow-Ups with the Sales Manager for any other misc. Trace reminders
  • Monthly Weekly Reports: Responsible for pulling and dispersing various weekly department Sales Reports, Monthly Resumes, and various others when applicable – under the direction of the Sales Manager and Lead Coordinator.
  • Monthly Actualizing – Responsible for the collection and reporting of all group sales actuals for all SYV property group arrivals. The coordinator should process Actual Pickup once a week for their assigned groups, and then again at the end of the month for proofing. Under the direction of the Lead Coordinator.
  • Monthly Reporting – Updates
  • Waived Resort Fees annual group spreadsheet and group arrival revenue.
  • Prospecting Assistance – Information collection to various markets and documented on a spreadsheet. The Sales Manager will schedule calls and prospect leads.
  • Posts Monthly GRC reports where applicable
  • Lead Generating Websites Responds to and supports Administrator where applicable in responding to incoming leads.
  • Event Staff – Assists bar and events team with any onsite events when applicable. Duties may include:
  • Bartending
  • Coffee, hot tea, and water stations
  • Executes all menus
  • Assistance with scullery
  • Event Setup – Prints all signage to be posted by the event lead. Prepares any documentation needed for the Manager or Event Lead to ensure all materials needed are available for event execution. This may include:
  • Private event signs
  • Ranch Buy-Out signs
  • Parking signage
  • Wrist bands
  • Hosted bar tally sheets (when applicable)
  • Amplified Noise announcements to neighbors
  • Wi-Fi signs for various meeting spaces (Corporate)
  • Various other applicable materials
  • Project Management – Assists in the off-season with various projects needed:
  • Updated various lead generating sites with appropriate information
  • Inventory of Bridal kits and various others
  • Accommodation descriptions
  • Creation of template layouts for all properties
  • Assists with any other tasks assigned
