SUMMARY

The Administrative Assistant would support the Shared Services. This position will assist with walk-in employee and guest inquiries. Assist with the day-to-day operations of the Human Resources Department including employee onboarding, employee relations, benefits administration, unemployment, policy implementation, uniforms, and employee housing. Support the Accounting Department with clerical tasks.

The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Act as Handle and coordinate active calendars
  • Schedule and confirm meetings
  • Ensure file organization based on office protocol
  • Provide ad hoc support around office as needed
  • Keeping uniform room organized
  • Operate independently with minimal supervision
  • Provide back-up administrative support to other departments as necessary
  • Available periodically during off-hours (evenings and weekends)
  • Coordination of meetings, creating PowerPoint presentations, coordinating monthly reporting, use of Excel spreadsheets and other cloud-based applications

QUALIFICATIONS & EXPERIENCE 

  • Ability to observe strict confidentiality in all aspects of services provided
  • Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external team members and stakeholders
  • Highly developed written communication skills, including report writing, presentations, email correspondence and verbal communication skills
  • Advanced experience in in Microsoft Windows operating systems and Microsoft Office applications including Microsoft Word, PowerPoint, Excel, and Outlook
  • Excellent calendar management skills and demonstrated history of complex scheduling with consistent follow through
  • Proven ability to work independently
  • Project management skills
  • Strong organization and prioritization skills; demonstrated history of successfully managing multiple concurrent initiatives
  • Ability to anticipate needs, resourcefulness, and responsiveness are essential
  • Strong interpersonal, customer service and communication skills

EDUCATION

High School Diploma required and a 2 to 4 year degree preferred.

CERTIFICATES, LICENSES, REGISTRATIONS

Requires possession of valid Class C driver license with a driving record meeting the minimum standards required by the resort’s insurance carrier.

WRITING SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions and inquiries.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Please be advised that the location of this position is in the mountains.  Inclement weather can and will be encountered on a regular basis, especially throughout the winter.  Reliable transportation to and from work is a necessity.  Access to a 4WD or AWD vehicle is highly recommended.
